How this calculation works

fleet cost = vehicles × service allowance per vehicle × (oil + filter + labor + other service charges)

Group only vehicles with matching usage, maintenance requirements and service price; calculate other groups separately. Supply manufacturer-approved intervals or use recorded service counts. Follow the vehicle manual and oil-life monitor, including severe-use requirements; this tool does not prescribe intervals or oil specifications. An all-in quote may already include labor, disposal, fees and tax; add them only once. Downtime, transport and unentered costs are excluded.

What information do I need?

Use records for the same job, equipment or accounting period. Only the fields for your selected entry method are required. An unknown amount is not zero.

Input definitions and where to find them
  • Vehicles in this matching service group (vehicles): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value.
  • Service frequency entry: Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value.
  • Oil changes per vehicle in the year (changes/vehicle): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I know the service count for the year.
  • Usage interval basis: Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals.
  • Miles per vehicle per year (miles): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals, Mileage.
  • Your approved mileage interval (miles/change): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals, Mileage.
  • Engine hours per vehicle per year (hours): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals, Engine hours.
  • Your approved engine-hour interval (hours/change): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals, Engine hours.
  • Your approved maximum calendar interval (months/change): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: Budget from my supplied maintenance intervals.
  • Service cost entry: Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value.
  • All-in price per oil and filter service (selected currency): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I have an all-in service quote.
  • Oil quantity per service (US qt): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I have oil, filter and labor costs.
  • Oil price per US quart (selected currency): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I have oil, filter and labor costs.
  • Filter cost per service (selected currency): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I have oil, filter and labor costs.
  • Labor cost per service (selected currency): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value. Used with: I have oil, filter and labor costs.
  • Additional charges per service not already included (selected currency): Use your own matching records, supplier quote or explicitly stated estimate. The prefilled figure is illustrative; zero means an explicitly excluded or zero cost, not an unknown value.

Use the Where to find this value controls beside the inputs for available work-it-out helpers. Estimates remain your assumptions; a helper does not verify the source figures.

Worked example

Example amounts use US dollars (USD).

Example answer: Annual fleet oil service budget is $1,500.00 for the illustrative inputs below.

Example inputs
  • Vehicles in this matching service group: 5 vehicles
  • Service frequency entry: I know the service count for the year
  • Oil changes per vehicle in the year: 3 changes/vehicle
  • Service cost entry: I have an all-in service quote
  • All-in price per oil and filter service: $100.00
  • Additional charges per service not already included: $0.00

  • Interval mode rounds the larger usage/calendar annual frequency up per vehicle for a conservative whole-service allowance. It is not an exact due-date schedule; partial intervals and last-service history are not modeled.

Use the result well

Budget oil and filter service for a fleet using your recorded service count or your supplied maintenance intervals.

Keep inputs on the same scope and time basis. Calculations retain precision internally; displayed values generally round to two decimal places, with extra precision for very small values and whole-unit rounding where required. Economic comparisons describe your supplied assumptions and do not guarantee future results.
