Fleet
Fleet cost per mile
Add your vehicle operating, ownership and driver costs, then divide by productive miles for the same period.
Your inputs
Complete only the fields for your selected method. Use one consistent job or reporting period. Zero means intentionally zero, not unknown. Missing costs and market rates are not added automatically. Currency selection labels amounts; it does not convert exchange rates.
Methods, assumptions and worked example
How this calculation works
sum(period vehicle costs)/period miles.
Choose one period, such as a month or year. Include fuel, tires, maintenance, driver labor and employer costs, insurance, registration, tolls and an appropriate allocated vehicle ownership cost if they belong in your scope. Include the costs of unpaid or empty travel, but enter productive/billable distance as the denominator. A cost per productive mile differs from a cost per all miles driven. Do not double-count loan payments, depreciation or costs already included in another total. Omitted costs are not estimated automatically; no profit margin is added. Unit selection converts miles and kilometres.
What information do I need?
Use records for the same job, equipment or accounting period. Only the fields for your selected entry method are required. An unknown amount is not zero.
Input definitions and where to find them
- Period used for ALL costs and distance: This is a scope label only. It does not convert annual insurance to a monthly cost or change your distance. Allocate every amount to the same period before entering it.
- Vehicle ownership operating and driver costs in period: Enter one distinct cost per row, or one known total. Do not enter both a total and its components. Choose a cost category if helpful; it does not calculate or add that cost. One row per distinct vehicle ownership operating and driver costs in period, on the stated row and period basis. Do not enter both components and their total.
- Cost category — optional label: This label helps identify your cost rows and appears with saved inputs. It does not select a rate, add an expense or change the arithmetic. Choose Other for any unlisted cost.
- Amount for this cost in the stated period (selected currency): Matching invoice, quote, statement, bookkeeping record or explicit budget amount for cost amount. Use the stated period and exclude amounts already counted in another field. Zero means intentionally excluded/not incurred, not unknown.
- Productive / billable distance for that same period (mi): From your trip log, enter only productive or billable miles (or select kilometres). Include all trip costs above, including empty travel. This worksheet specifically measures cost per productive distance; do not mistake it for cost per all odometer miles.
Use the Where to find this value controls beside the inputs for available work-it-out helpers. Estimates remain your assumptions; a helper does not verify the source figures.
Worked example
Example amounts use US dollars (USD).
Example answer: Cost per productive kilometre is $0.60 for the illustrative inputs below.

Use the result well
Find the entered cost that each productive mile needs to cover. This is a cost figure, not a customer selling price or guaranteed profit.
Keep inputs on the same scope and time basis. Calculations retain precision internally; displayed values generally round to two decimal places, with extra precision for very small values and whole-unit rounding where required. Economic comparisons describe your supplied assumptions and do not guarantee future results.
