How this calculation works

occupancy=(fixed costs+debt-other income)/(gross rent-variable at full occupancy).

Variable operating costs scale linearly with occupancy. Use the same period. This is arithmetic, not a rental demand or eligibility forecast.

What information do I need?

Use records for the same job, equipment or accounting period. Only the fields for your selected entry method are required. An unknown amount is not zero.

Input definitions and where to find them
  • Period fixed operating cost (selected currency): Matching invoice, quote, statement, bookkeeping record or explicit budget amount for period fixed operating cost. Use the stated period and exclude amounts already counted in another field. Zero means intentionally excluded/not incurred, not unknown.
  • Period debt service (selected currency): Use matching records or a clearly identified owner assumption for period debt service, in the displayed unit and the stated row/period scope.
  • Period other income (selected currency): Matching invoice, quote, statement, bookkeeping record or explicit budget amount for period other income. Use the stated period and exclude amounts already counted in another field. Zero means intentionally excluded/not incurred, not unknown.
  • Potential rent at full occupancy (selected currency): Potential full-occupancy rent for the SAME period as costs/debt.
  • Variable operating cost at full occupancy (selected currency): Cost at full occupancy assumed to scale linearly with occupied share.

Use the Where to find this value controls beside the inputs for available work-it-out helpers. Estimates remain your assumptions; a helper does not verify the source figures.

Worked example

Example amounts use US dollars (USD).

Example answer: Required occupancy is 80.00 % for the illustrative inputs below.

Example inputs
  • Period fixed operating cost: $1,000.00
  • Period debt service: $1,200.00
  • Period other income: $200.00
  • Potential rent at full occupancy: $3,000.00
  • Variable operating cost at full occupancy: $500.00

Use the result well

Find occupancy required to cover specified fixed and variable costs.

Keep inputs on the same scope and time basis. Calculations retain precision internally; displayed values generally round to two decimal places, with extra precision for very small values and whole-unit rounding where required. Economic comparisons describe your supplied assumptions and do not guarantee future results.
